Employee Offboarding

What is Employee offboarding?

Employee offboarding explains the process of separation when employees are leaving. This can be transpired through resignation, termination, and or retirement. This includes transferring of that employee’s responsibilities and know-how.

What is the difference between onboarding and offboarding?

These are two very different concepts, in an employee’s career. One employee is getting onboard and another one is leaving the company. These two processes involve quite a bit of paperwork in HR. The step-by-step process should be planned from the start to end carefully. (Anderson, 2019)

Why Offboarding process is important?

Two words align with this concept, i.e. “advocate” and “antagonist”. Advocate: the employee speaks about the organization in a good manner. But an antagonist, will not recommend the organization to anyone. Therefore, try to turn an employee who is leaving to an advocate. (E.Jones, 2020)

Employee offboarding checklist should include below:

·         Change should be conveyed swiftly.

·         Prepare the paperwork.

·         Initiate the knowledge transfer.

·         Doing an exit interview.

·         Recover company assets.

·         Bidding farewell.

·         Keep the door opened for a return.

·         Tie up loose ends.

(Westfall, 2019)

What is an Offboarding Tool?

To make the offboarding process easier, there are some offboarding software that have been developed. These tools will help to simplify administrative works and help to coordinate necessary steps. The best software will help the organizations to avoid leaving high performers in the future.

There are some popular offboarding software’s such as SilkRoad Technology, intelliHR - Intelligent People Management, VAIRKKO, Zohno Tools (Z-Hire & Z-Term), Churnkey, Click Boarding, etc.. (G2.com, Inc, 2021)

Nowadays most of the companies form alumni with their former employees. It may help to create new business connections and goodwill with the organization.

According to Deloitte Millennial survey, it indicates that more than 40% of Millennials plan to quit a job within two years, and less than a third will be leaving around after five years. Generation Z, those who are born in the mid-1990 to mid-2000s, have a chance of quitting a job of 60% within two years. A survey reported that only 12% plan to remain in one job beyond five years. (Parmelee, 2020). This shows the increased importance of a proper offboarding process for any organization.

Conclusion

The reverse side of onboarding is offboarding. The knowledge-sharing process may be involved in this. Also, offboarding software is part of the talent management system. Both onboarding and offboarding have similarities.

In my current workplace, the majority of skilled workers are employed for over five years, but there seems to be more room for improvement in the current offboarding process. I believe the offboarding process should be set at a high level, in every organization.

What is your view?

  1. If an employee resigns, their walk with your organization is likely finished, but that doesn’t imply you should inspect the offboarding manner. A well-thought-out employee offboarding checklist will guard your organization, implement evidence, and in the long run, may help your organization address weaknesses and increase retention.

  2. Yes I agree with you. Offboarding is the formal separation of the employee from the organization. This could be through resignation, retirement or termination. It ensures there's no loose ends when a person leave. With off boarding the uncertainty is tied to the decision of leaving. Employer get the second chance to retain the talent. But many organizations give priority only for the onboarding process and it should be changed.

  4. Offboarding is the process that leads to the formal separation between an employee and a company through resignation, termination, or retirement. It encompasses all the decisions and processes that take place when an employee leaves.Essentially, offboarding ensures there are no loose ends when an employee leaves the company, so you don’t find yourself emailing a former employee two weeks later asking for his or her ID badge, for example. The process is also useful for learning what you might be able to improve for your current and future employees.

  5. yes i agree, and as you said when an employee leaves, he or she becomes either an advocate or an antagonist to your company. Advocates will speak highly of you and can send potential new employees your way. Antagonists will not recommend your business to anyone, and that can hurt you in the long run. Therefore we need to use offboarding to turn all employees who leave into advocates.

An effective offboarding process helps reduce the chance that misunderstandings will persist after the employee moves on. When you take the time to get a clear understanding of the employee’s experience, you and your employee can part ways with additional opportunities for networking, development, and growth.

  7. Employee turnover is unavoidable, and although handling such shifts is never easy, it is an important and worthwhile investment for businesses.
In an ideal world, you'd like to part ways with departing workers on friendly terms. However, the transfer process can be lengthy, and workers often leave feeling disappointed, disrespected, or otherwise underwhelmed.
A good offboarding software will help HR avoid common pitfalls in the employee departure process and make the transition smoother for both parties.

  8. The reasons are behind the offboarding may be the employee wasn’t a long-term fit for company culture, perhaps they came across a career changing opportunity or in some personal cases.
The most crucial aspects of a good employee off boarding process are to first understand the reason why an employee wants to leave, have a clear plan to handle each type of exit and treat employees warmly, regardless of the reason behind their departure. Celebrate their achievements and make them feel appreciated for their efforts.
Additionally, a memorable farewell will make employees speak positively about their experience and this will, in turn, increase the brand value as an employer.
